Execute responsibilities as a member of the function/channel talent team supporting the business.
Offer suggestions for process improvements and data integrity improvements.
Prepare weekly locator reports from the staffing system for assigned locations/functions
Prepare and send weekly availability reports based on the staffing system
Create biweekly forecasting and headcount reports in Excel based on reports run in the staffing system for assigned locations/functions
Carry out routine annual or biannual processes related to new hires and interns such as inputting individuals into the staffing system, inputting counselor assignments, assigning on-call inventory dates (if applicable), activating employees in the staffing system, and updating staff records with employee identification numbers when assigned
Maintain staff roster for each location
Run biweekly hours variance reports and, using an email template, follow up with individuals who have substantial variances. Compile a report based on the responses received for the US-based resource manager
Follow up with managers not in compliance with updating their schedules on a biweekly basis using an email template.
Maintain a running report of those who are out of compliance from biweekly to biweekly
Track those who are out of compliance submitting their time reports timely and maintain a running report of those who are out of compliance from week to week
Schedule requests for personal time off and continuing education in the staffing system based on guidelines provided
Resolve basic conflicts in the staffing system, such as holidays, continuing education, and personal time off with guidance provided
Provide assistance to assigned locations during mid-year and year-end performance evaluation periods such as posting documents to an e-room, running and formatting evaluation compliance reports, scheduling feedback meetings with evaluation teams and consolidating feedback
Complete manual promotions in the staffing system on an annual basis as needed
Provide assistance to keep client and staff profiles current in the staffing system to include updating contact information for clients or staff based on emails or reports provided
Perform queries for clients that may need to be inactivated and track to ensure annual staffing schedules have been input for all active clients
Provide assistance in setting up Excel or Word templates for use by the US resource manager
Provide other reports as requested such as staff availability, conflicts, client assignments or customized reports
Need to be open for evening shifts.
BA/BS degree and a minimum of 2 years experience (CL3) and 4 years experience (CL4)
Strong listening and analytical skills
Strong English communication skills
Strong interpersonal traits including
confidence, responsiveness, flexibility, initiative and decision making ability.
The successful candidate will possess an attention to detail and accuracy while being able to meet client deadlines.
Word processing, spreadsheet and related software skills are required for this position.
The ability to organize, evaluate and assess data, then make appropriate recommendations based on this review is essential.
Must be able to identify and respond to both operational and human resources issues within the practice.
Ability to work independently and as a team member
Ability to interact with all levels of personnel and work well under pressure
Ability to work with confidential information.
